What a catering invoice should include
A catering invoice does more work than a restaurant bill. It bills an organization, not a person, so it has to carry everything the client's finance team needs to approve and pay it without a phone call:
- Your business details and the client's, with an invoice number and date
- The event date, separate from the invoice date
- Itemized lines with quantities and unit prices, not one lump sum
- Taxes stated separately, both of them where two apply
- Any service fee or gratuity as its own line, never buried in the food
- The deposit already received, shown as a payment against the total
- Payment terms, and the PO number and cost center for corporate clients
That last line is the one most templates miss. Workplace catering bills departments, not people, and an invoice that arrives without the code the client's finance system expects gets parked, not paid.
When the invoice should generate itself
A template solves today's invoice.
